How your team writes together

From the first sign-in to sharing the finished document. Each step links to the guide with the details.

Get your workspace

During the private beta, sign-up is by invitation. When a place is available for your team, we set up your account and your workspace, and you become its first Owner.

A workspace holds your team's folders and documents. Everyone signs in on the same sign-in page, and changes to who can see what need two-factor sign-in, with an authenticator app or a security key.

Join a workspace

Invite your team

  • An Owner or Admin invites people to the workspace

Each invitation gives one role, works once and expires, and can be kept to one email address. Admins can invite Viewers and Members; Owners can invite anyone.

  • The role sets the most someone can do

Viewers read, comment and suggest changes. Members also write. Admins also look after people and settings, and Owners also decide who can see what. Member is the default.

  • Sharing works inside that

Each folder and document can be shared with a person or a team as Full access, Can edit or Can view, and nobody gets more than their role allows.

Write together

A new document starts as a draft that only you can see. Invite co-authors to write it with you. Edits reach everyone with the document open as you type and combine on their own, so two people can work in the same paragraph without conflicts, and each person's cursor shows their name.

Short drops reconnect quietly. While disconnected you can keep typing: when your browser allows storage, your changes are saved on your device and sent when the connection returns, even if you close the tab in between. You do need a connection to open a document.

Each person picks a view: Live formats as you type, Source shows every character, and Split puts the markdown beside a preview on wider screens. Underneath, the document is CommonMark with GitHub Flavored Markdown, the same text you'd keep in a repository.

Launch plan

We roll out to two pilot teams first, then to everyone.

Done: Write the getting started guide

To do: Schedule the team kickoff

NOTE

Documents you can export download as plain .md files.

The same document as on the home page, in Source view. Split is available on wider screens.

Review it

  • Comment and suggest

Comment on any words, or suggest new ones without changing the text. People who can edit accept or reject each suggestion. Viewers can comment and suggest by default.

    Suggest changes
  • Mention people

Type @ to mention a person or a team, and they get a notification if they can open the document.

  • Versions are kept as you go

Saved after ten minutes without edits, and once an hour during long sessions. Name one, like "Sent for review", and automatic cleanup never removes it. Restoring saves the current text first, so a restore can be undone.

Publish and share it

When the draft is ready, its author publishes it to its folder, and it opens to the people that folder is shared with. General access sets who in the workspace reaches it, and a restricted folder or document stays with the people you list.

Access changes take effect while people work: someone moved to Can view can no longer edit, and someone removed sees the document turn read-only. Search, backlinks, images and downloads include only what you can open. Where the workspace allows it, a public link lets anyone read one document without signing in.

Hiring plan

Two roles open in the first quarter.

You no longer have access to this document.

Someone with Full access restricts the document while Alan has it open. His editor turns read-only at once.

Take it with you at any time

Download any document you have permission to export as a .md file, or a folder or a whole workspace as a .zip of those documents, with the images uploaded to them. Drafts are left out unless you include your own.

Files in a .zip keep their last edit times. Comments, open suggestions and version history stay in the app. Links between documents point back to Colletta; exports that rewrite them for other tools are planned.

Download, copy and print

Write the next document together.

Access is by invitation during the private beta. Join the waitlist for a place, and read the docs to see how Colletta works.
