Invite a teammate

Workspace Owners and Admins. An invitation is a link you create and send yourself, by email or chat. Colletta doesn’t send invitation emails. You may be asked to sign in with two-factor first, because inviting someone changes who can see your workspace (see Two-factor sign-in).

  1. Choose Settings at the bottom of the sidebar, then Invitations.
  2. Pick a Role: Viewer, Member, Admin or Owner. Member is the default and suits most people: only Owners, Admins and Members can edit. Viewers can read, comment and suggest changes by default, but can’t edit the text (see Roles). Admins can only offer Viewer or Member. Keep Admin for someone who should look after people and settings, and Owner for someone who should own the whole workspace (see Roles).
  3. Set Expires in days, from 1 to 90 (7 by default). If you fill in Only for this email, only someone signed in with that address can use the link.
  4. Choose Create link, then Copy. The link is shown only once, so copy it before you close the dialog.
  5. Send the link to your teammate by chat or email. They sign in, choose Join, and they’re in.

Each link works once. Until it’s used, it’s listed under Pending, where you can Revoke it if you change your mind. A link also stops working if the person who made it can no longer give that role, for example an Owner who is later made a Member.

Your teammate can open the published documents that workspace access allows, with the role you chose. Restricted items may need a separate share, and someone else’s draft needs a co-author invitation. To keep some documents to fewer people, use restricted folders and documents.
