A tour of the screen
Here is a quick map of what you see with a document open. The sidebar on the left is for finding things, the header above the text is for working on this document, and the panels open beside the text when you want them.
The sidebar
Section titled “The sidebar”From top to bottom:
- The workspace switcher, with the workspace’s name, where you move between workspaces and can Download all (.zip). Beside it are the notifications bell and Hide sidebar.
- Search, across every document you can open, and beside it New document (people who can edit).
- Home, the workspace’s home page.
- My tasks: open tasks assigned to you, ordered by due date and grouped by document (see Assign a task).
- Your drafts, when you have drafts, with how many.
- Favorites, once you’ve starred something, and Shared with you, once someone shares a document or folder with you on its own.
- Documents: the tree of folders and documents. The + beside the heading offers New document, New folder and Import (see Import).
- Trash, for people who can edit, and Settings, at the bottom of the sidebar.
- Your account menu, with your name and email:
- Settings: Profile, Editor settings and Settings.
- Help: Account settings (when your sign-in offers it), Help and documentation (these guides), What’s new, Send feedback and Install app.
- Your account: Log out, Log out everywhere and Revoke all API tokens. Deleted workspaces appears when there are any you can restore.
On a narrow screen the sidebar opens as a drawer instead.
Settings
Section titled “Settings”Settings opens the settings pages, and the sidebar shows their list in place of the documents. Back to documents at the top returns to the tree.
- Workspace, for workspace Owners and Admins: General, Members, Teams, Invitations, API access, Sharing, Search, Public links and Plan and usage. Admins see Plan and usage read-only.
- Your account, for everyone: Profile, Editor settings, API tokens (see API and AI agents) and Delete account.
The document header
Section titled “The document header”- Where the document is, on wider screens: the workspace name, which opens the home page, then its folders. Choose a folder’s name for a menu of what’s in it, where you can also open the folder’s overview or choose Show in the sidebar.
- The title, with a star to add the document to your favorites, your role, and a lock if the document is restricted.
- Who’s here: the people who have the document open, and the connection status. It says saved once everything you typed has reached the server.
- Buttons for Outline, History (people who can edit), the View (Live, Source or Split), Comments and, for people who can share, Share. On a wide screen the buttons have labels. On a smaller one they show only icons, and some move into the More menu.
- The More menu (…), with Print or save as PDF, Notify me, Save version, the downloads (Download .md, Download .md for other tools and Download .html), Copy as markdown, Copy raw .md link and Duplicate. See Download, copy and print.
When others have changed the document since you last had it open, a bar under the header says so, with Show changes. See Versions and restoring.
Panels
Section titled “Panels”The outline opens on the left of the text. Comments and history open on the right, one at a time.
Install Colletta as an app
Section titled “Install Colletta as an app”You can install Colletta so it opens in its own window, without the browser’s toolbar, and has an icon like any other app. Choose Install app in your account menu.
- Chrome and Edge show their own install dialog.
- Safari installs from its own menus, so Colletta shows you the steps: on an iPhone or iPad, tap the Share button, then Add to Home Screen; on a Mac, choose File, then Add to Dock.
The item doesn’t appear once Colletta is installed, or in browsers that can’t install web apps, such as Firefox on a computer. Installed or not, Colletta works the same way.
Getting help
Section titled “Getting help”Help is never far away:
- Help and documentation in your account menu opens these guides.
- In the command list (Ctrl+Shift+P, or Cmd+Shift+P on a Mac), Help: documentation and Help: keyboard shortcuts open the guides and the shortcuts reference.
- The Share dialog, the restrict confirmation and the two-factor dialog each link to the guide that explains them (“About sharing”, “About restricted items”, “How two-factor works”). The guide opens in a new tab, so you don’t lose your place.
- Ctrl+/ (Cmd+/) in a document shows every keyboard shortcut.
